Privacy Policy

This policy explains how CampusesOS handles personal information collected through the website at campusesos.site (the "Site"), including the early access and contact forms.

When a university uses the CampusesOS platform, personal data about its students and staff is processed on the university's instructions under a separate customer agreement. In that relationship the university decides how student and staff data is used, and CampusesOS processes it on the university's behalf. Students and staff should direct questions about that data to their university first.

Information you submit. When you use the early access or contact form we collect your full name, email address, institution or organisation, institution size, primary use case or enquiry topic, and the message you write.

Technical information. Our hosting and delivery providers automatically record standard request data such as IP address, browser type, requested page and time of request in server and CDN logs, for security and reliability.

What we do not collect on the Site. The Site does not use advertising cookies, cross-site tracking or third-party analytics. Interactive product demonstrations on the Site run entirely in your browser using fictional sample data and do not send what you click to us.

• To reply to your enquiry, arrange demos and discuss pilot programmes.
• To keep a record of business correspondence.
• To protect the Site against abuse, spam and security incidents.
• To meet legal obligations that apply to us.

We use a small number of providers to operate the Site. They process information only to provide their service to us:

• Amazon Web Services for receiving form submissions (Amazon API Gateway and AWS Lambda) and delivering them by email (Amazon SES), and for hosting where applicable.
• Our website hosting and CDN provider for serving the Site and keeping request logs.
• Google Fonts, which serves the Site's typefaces; your browser requests font files from Google's servers, which receive your IP address.
• Our email provider for corresponding with you.

We do not sell personal information or share it with third parties for their own marketing.

We keep enquiry and correspondence records for as long as needed to respond and to maintain a business relationship, and for no longer than 24 months after our last contact unless a longer period is required by law or you become a customer. Server and CDN logs are kept according to our providers' standard retention settings.

Form submissions are sent over HTTPS. Access to enquiry records is limited to the people who need it to respond. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Our providers may process information in countries other than the one you are in. Where we transfer personal information internationally, we rely on our providers' contractual safeguards.

Depending on where you live, you may have the right to access, correct, delete or restrict the use of your personal information, to object to processing, and to complain to your local data protection authority. To make a request, email hello@campusesos.site. We may need to confirm your identity before acting on a request.

We will update this page if our practices change and revise the date at the top.
